What this opportunity involves: We are looking for a proactive and organized Facilities Coordinator to assist with the coordination of facilities management functions in a mix of owned properties and leased premises. The successful candidate will play a vital role in ensuring smooth facility operations and maintaining excellent relationships with stakeholders. An Overview of the role: Coordinate and support facilities management activities as delegated by the central team and operational requirements. Resolve on-site difficulties promptly, minimizing disruptions to business-as-usual activities. Collaborate with Property Service Centre, FM Vendor Managers, and service providers to manage escalations regarding contractor performance, client complaints, and ensure timely completion of works. Monitor the use of Corrigo to evaluate service delivery, manage invoicing, and track documentation, mitigating risks associated with delays. Assist with FM-specific tasks related to the Change Direct Notices process, property on/off schedules, and compliance documentation. Provide general administrative support to the Business Support Team and Facilities Managers, including report preparation. Engage with service providers to ensure proper maintenance of assets and compliance with preventative maintenance plans. Develop effective relationships with Facilities Managers, Contractors, and Suppliers. Follow established procedures for WHS, Environment, and Risk Management to ensure safety and compliance. Self-motivated, adaptable, and goal-oriented. Honest, trustworthy, and willing to challenge the status quo. Detail-oriented with excellent organizational skills. Customer service-focused approach. Proficient in Microsoft Word, PowerPoint, Excel, Outlook, and Internet research. Able to work independently with minimal supervision and grasp new concepts.
