Information Management Coordinator

General Description: Responsible for providing and maintaining effective and high-quality operational functions and customer service for all internal, external customers by using in-depth Company, Industry, Product and Service knowledge. The Information Management Coordinator is accountable for meeting the companies and customers operative Key Performance Indicators and Service Level Agreements ensuring overall client satisfaction. They will be the guardian of information in various forms, ensuring it reaches internal and external stakeholders. Responsibilities: Objectives: - Ensure the delivery of a customer focused information service offering industry best practice to the organisation. - Maintain and implement policies, procedures and systems to maximize the efficient provision of information management services. - To coordinate the activities of the Information Management Services unit in accordance with legislative requirements. - Ensure the organisation complies with legislative requirements relating to record keeping. - Ensure the protection of vital records, the security of confidential information and meeting all legal, evidential and accountability requirements. - Maintain Document control for our QMS (ISO 9001:2015) - Be involved in the internal audit for QMS (ISO 9001:2015) - Implementing new information practices where required Functional: - Ensure the protection of vital records, the security of confidential information and meeting all legal, evidential and accountability requirements. - Review and update relevant procedures and manuals as required with the assistance of the information management services team. - Ensure receipt, processing and delivery of information is performed in the most expedient manner. - Maintain strategies for the security, integrity, and confidentiality of documents. - Provide day to day functional support and operation functions and problem solving. - Provide both one on one and group training to current and new users and work groups in the information management procedures and in the operation. - Undertake project work in relation to inactive records and information management initiative as directed by the Manager. - Undertake system administration tasks, maintenance and perform regular quality audits to ensure data is correct Requirements: - Minimum 2 years experience in a similar role and the Freight Forwarding industry. This includes all areas. - High level customer service and communication skills (proactive, self-motivated and have a keen eye for detail) - Willingness to learn and be flexible in your daily job role - Time management skills and capability to prioritize - Problem solving skills and the ability to find solutions across a variety of situations - Team player with excellent attention to detail - Driven, motivated and forward thinking - Reliable, self-motivated and confident - Excellent computer skills (Microsoft Outlook, Excel and Word) - Must be analytical for data collection and analysis - Must have Minimum 2 years with CargoWise - Must know the Standards for ISO 9001:2015
